What is Download?

Download is the daily electronic transfer of policy transactions from the company to the agency. The purpose of download is to keep the policy databases at the agency and the company “in sync” with each other.

What are the benefits of download?

Download enables an agency to:

Update its database without manually entering policy data
Ensure that its client and policy data is consistent with that of GMRC

Download is an efficient, cost-effective way to receive policy changes and new policies on a daily basis from GMRC. During one communication session per day, agencies can receive policy data from one or more insurance companies.

Download Start-Up

There are five major steps in preparing for download:

Verify that you have the correct software
You need a version of your agent management system that supports download. You also need a download (or interface module). Contact your agency system vendor if you have questions about your software.
Verify that you have entered basic client and policy information entered in your system.
Policy numbers in your system should be in the same format as the policy numbers that GMRC uses.
Update your company download (interface) information.
Refer to your agency system documentation for instructions.
Create your Download Setup Processing Records and send them to the company.
DSP’s are the "keys" that allow the insurance company to link policies in its database with policies in your agency database. Refer to you agency system documentation for instructions.
Set up your batch interface communication information.
You will need an IVANS account and User ID for batch download. Contact GMRC if you do not have one.

To begin download, you must decide whether or not to receive an initial load. An initial load will populate the agency database with your entire book of business from the company database for the lines of business being downloaded. You may wish to receive an initial load if you have just purchased a new system. The initial load eliminates the need for manual data entry of your policy information. Refer to your system vendor for instructions on preparing for an initial load and any charges that you may incur.

You will now be ready to begin receiving daily download from GMRC. From this point on you will need to note the Agency ID for Insured (Client ID) on all new business applications for the lines of business we will be downloading for you. This step ensures that the policies will match when they are downloaded to your system.

Daily Download

We download policy transactions to agency IVANS mailboxes each morning. You should be able to receive your policy updates any time after 7:00 AM central time. You will initiate a download session from a PC with a modem. After the transmission, a report is generated which lists the policies that were downloaded from each company. If the policies match, your system will be updated. IF there is incorrect or incomplete information, they will be put into suspense.
